Position Summary
We are seeking a highly organized and proactive veterinary professional with a diverse skill set to join our team as a part-time Operations Assistant. Reporting to the Head of People & Operations, this remote position plays a key role across the organization, providing administrative and operational support to our Co-Owners. As an Operations Assistant, you will help to ensure priorities are organized, tasks are executed effectively, and initiatives move forward efficiently.
Duties
Provides administrative and operational support to the Co-Owners
Manages calendars, schedules, meetings, and priorities to ensure efficient time management and coordination
Tracks, organizes, and follows up on tasks, action items, and project timelines to ensure completion
Prepares, organizes, and maintains documents and internal records
Creates and updates business materials, including client resources, handouts, and presentations
Supports client onboarding, project setup, and execution
Assists with research and data gathering to support operational planning and decision-making
Supports workflow organization and system maintenance across operational tools and business systems
Identifies and communicates bottlenecks, missing information, or incomplete tasks to support operational efficiency
Provides general administrative support as required to support day-to-day operations and leadership priorities
Responsibilities
Supports the Co-Owners by ensuring organizational priorities are organized, tracked, and moving forward efficiently
Maintains oversight of task execution and follow-through, ensuring accountability and timely completion of key deliverables
Anticipates operational needs and proactively supports leadership by identifying gaps, priorities, and required follow-up
Represents the organization in a professional and organized manner in all internal communications and coordination activities
Qualifications
Exceptional verbal and written communication skills in English
Minimum 2 years of experience working in a veterinary practice
Experience in an administrative, executive assistant, virtual assistant, or similar support role
Demonstrates excellent organizational skills, time management, and attention to detail
Takes initiative to proactively identify priorities and anticipate needs in an evolving environment
Ability to work independently in a remote environment while contributing effectively to a team
Ability to problem-solve, make decisions effectively, and exercise sound judgment
Demonstrates integrity, reliability, and accountability
High proficiency with computer technology and ability to learn new programs and tools quickly
Must reside in Canada, with preference for candidates based in Calgary to support occasional in-person collaboration as needed
Must have access to a private workspace and reliable computer with high-speed internet connection
Strong operational awareness and business acumen, with the ability to understand how tasks contribute to broader organizational goals, is considered an asset
Post-secondary education in business, office administration, or a related field is considered an asset
Proficiency in Google Workspace, particularly Google Sheets, is considered a strong asset
Experience with design, website, marketing, and project management platforms is considered an asset
