Position Summary
We are seeking a veterinary professional with excellent communication skills and a passion for delivering exceptional client care to join our team as a part-time Client Care Coordinator for our Home Pet Nurse division. Reporting to the Head of People & Operations, this remote position serves as the first point of contact for pet parents seeking in-home veterinary technician services.
Duties
Provides exceptional client care by responding to calls and email inquiries in a professional, compassionate, and timely manner
Assesses client needs, addresses questions and concerns, and triages inquiries to determine the most appropriate course of action
Coordinates service requests and manages appointment scheduling to support efficient service delivery
Converts client inquiries into booked appointments through effective communication, compassion, and client education
Documents client communications and appointment details within organizational systems
Reviews, revises, and shares appointment notes and relevant information with the patient’s veterinary practice when appropriate
Creates invoices, processes payments, and manages schedules within systems
Builds and maintains positive, professional relationships with clients, team members, and partners while supporting client acquisition, retention, and feedback initiatives
Assists with administrative and operational tasks to support the daily activities of Home Pet Nurse
Responsibilities
Serves as the primary point of contact for Home Pet Nurse clients, ensuring high-quality client care, strong relationship management, and confidentiality across all interactions
Coordinates the delivery of in-home veterinary technician services, ensuring a seamless experience for clients, patients, and team members
Supports Registered Veterinary Technicians and the operations team through timely communication and collaboration
Qualifications
Exceptional verbal and written communication skills in English
Minimum 1 year of experience working in a veterinary practice in a client-facing role
Knowledge of veterinary terminology and common small animal health concerns
Ability to work independently in a remote environment while contributing effectively to a team
Demonstrates strong organizational skills and attention to detail
Ability to problem-solve, exercise sound judgment, demonstrate empathy, and remain calm in stressful or emotionally sensitive situations
Demonstrates integrity, reliability, and accountability
High proficiency with computer technology, including veterinary practice management systems
Availability to work flexible shifts, including weekdays, evenings, and weekends
Must reside in Canada
Must have access to a private workspace and reliable computer with high-speed internet connection
Proficiency in Google Workspace is considered an asset
